How to Change Your Voicemail Greeting on VoIP

Your voicemail greeting is the first thing callers hear when you can't answer. Here's how to change it on a hosted VoIP system.

From Your Desk Phone

Dial your voicemail access number, enter your PIN, and look for the "greeting" or "options" menu. Select "record new greeting" and follow the prompts. Speak clearly and keep it brief (15–30 seconds).

From the Web Client or App

Log into your VoIP web portal or mobile app. Go to Voicemail or Settings, then Greeting. You can often record directly from your device microphone or upload a pre-recorded file.

Best Practices

  • State your name and that you're unavailable.
  • Mention when you'll return calls.
  • Offer an alternative contact (e.g. colleague or email) for urgent matters.
