What to Do If Your Business Phone Is Lost or Stolen: Emergency Action Plan

Losing a business phone — or having it stolen — is every company’s nightmare. Beyond the cost of the handset itself, a lost business mobile potentially exposes corporate emails, customer data, financial information, and access to cloud services. According to a 2025 Kensington study, a laptop or phone is stolen every 53 seconds in the UK. For businesses, the data on that device is almost always worth more than the hardware. This emergency action plan tells you exactly what to do, step by step, if a business phone goes missing — whether you’re with EE, O2, Three, or Vodafone — and how to protect your company data in those critical first minutes.
Immediate Action Checklist: The First 30 Minutes

Speed is everything. The faster you act, the less chance there is of corporate data being compromised. Follow this checklist in order:
- Try to locate the device using Find My iPhone or Google Find My Device (see steps below)
- Remotely lock the device immediately — even if you think it might just be misplaced
- Call your mobile network provider to suspend the SIM card and block the IMEI number
- Report the theft to police (if stolen) and obtain a crime reference number
- Initiate a remote wipe via your MDM solution if the device held sensitive corporate data
- Change passwords for email, Microsoft 365, banking apps, and any other services accessible from the phone
- Notify your IT team (or managed IT provider) so they can revoke access tokens and check for suspicious activity
- Contact your insurance provider to start a claim if applicable
- Arrange a replacement device to minimise downtime for the employee
How to Use Find My iPhone (Apple)
If the lost phone is an iPhone, Apple’s Find My network is your first line of defence. You can access it from any web browser or another Apple device.
From a Web Browser
- Go to icloud.com/find and sign in with the Apple ID associated with the lost iPhone
- Click All Devices and select the missing phone
- The map will show the phone’s last known location (if it’s powered on and connected to the internet)
- Click Lost Mode — this locks the device with a passcode, disables Apple Pay, and displays a custom message with a contact number on the lock screen
- If recovery seems unlikely, click Erase iPhone to remotely wipe all data. Note: once erased, you can no longer track the device
From Another Apple Device
- Open the Find My app on another iPhone, iPad, or Mac
- Tap Devices and select the missing phone
- Use Play Sound if the phone might be nearby (it plays at full volume even if on silent)
- Activate Mark As Lost or Erase This Device as needed
Find My iPhone works even when the device is offline, thanks to Apple’s Find My network which uses nearby Apple devices to relay the location anonymously. However, if the phone is powered off or the battery has died, you’ll see the last known location rather than a live position.
How to Use Google Find My Device (Android)

For Android business phones, Google’s Find My Device service provides similar functionality.
From a Web Browser
- Go to google.com/android/find and sign in with the Google account linked to the lost phone
- The device should appear on the map if it’s powered on and connected to mobile data or Wi-Fi
- Select Secure device to lock it remotely with a PIN, password, or message on the lock screen
- Select Erase device to wipe all data if recovery is not possible
From Another Android Device
- Open the Find My Device app (pre-installed on most Android phones)
- Sign in with the same Google account and select the missing device
- Use Play Sound, Secure Device, or Erase Device as appropriate
Since 2024, Google’s Find My Device network works similarly to Apple’s, using nearby Android devices to help locate phones even when they’re offline. Samsung devices also have Samsung Find My Mobile (findmymobile.samsung.com) which offers additional features like remote unlocking and battery status checks.
Reporting to Your Mobile Network Provider
Once you’ve locked or wiped the device remotely, contact your network provider to suspend the SIM and block the IMEI. Blocking the IMEI prevents the handset from being used on any UK network, even with a different SIM card. Here are the contact details for the major UK business networks:

Important: You’ll need the phone number and, ideally, the IMEI number to hand. The IMEI is a 15-digit code unique to each handset. You can find it on the original box, on your network account portal, or by dialling *#06# on the device (if you still have access). Keep a record of all business phone IMEI numbers in a central spreadsheet or asset management system.

Reporting to the Police
If the phone was stolen (rather than simply lost), report it to the police as soon as possible. You can report online via your local police force’s website or by calling 101 (non-emergency). In an emergency where you’re still being threatened, call 999.
You’ll receive a crime reference number — keep this safe, as you’ll need it for insurance claims and potentially for your network provider. While police recovery of stolen phones is uncommon, the report contributes to crime statistics and may help if the device is recovered during another investigation.
Using MDM to Remote Wipe Corporate Data
If your business uses a Mobile Device Management solution — whether Microsoft Intune, VMware Workspace ONE, Jamf, or another platform — you can initiate a remote wipe from the admin console. There are typically two types of wipe:
Full Device Wipe
Returns the phone to factory settings, erasing everything. Use this for company-owned devices where there’s no personal data to preserve. The device will need to be completely re-set-up if recovered.
Selective / Corporate Wipe
Removes only corporate data — email accounts, managed apps, VPN profiles, Wi-Fi configurations — while leaving personal photos, apps, and settings intact. This is the appropriate choice for BYOD devices where the employee owns the handset.
In Microsoft Intune, the process is straightforward: go to the Intune admin centre, select the device, and choose either “Wipe” (full) or “Retire” (selective). The wipe command will execute the next time the device connects to the internet.

Making an Insurance Claim
If your business has mobile phone insurance (either through the network provider, a third-party insurer, or a business insurance policy), start the claim as soon as you’ve completed the steps above. You’ll typically need:
- The crime reference number (for theft claims)
- The IMEI number of the lost device
- Proof of purchase or lease agreement
- Details of when and where the phone was lost/stolen
- Confirmation that the SIM has been suspended and IMEI blocked

- Strong passcodes: Enforce 6-digit PINs or biometric unlock via MDM policy — no swipe patterns, no 4-digit codes
- Automatic screen lock: Set screens to lock after 60 seconds of inactivity maximum
- IMEI register: Maintain a central spreadsheet or asset management tool with every device’s IMEI, serial number, user, and network details
- Encryption: Ensure full-device encryption is enabled (on by default on modern iPhones and most Android devices)
