How to Set Up a Grandstream IP Phone for Hosted VoIP
Why Grandstream?
Grandstream is one of the most widely used IP phone manufacturers for hosted VoIP deployments. Their phones offer a strong balance of features, build quality, and price — making them a popular choice for small and medium businesses that want reliable hardware without enterprise-level costs.
Models like the GRP2612, GRP2614, and GRP2616 are commonly deployed by VoIP providers across the UK. They support standard SIP protocols, Power over Ethernet, and can be provisioned remotely — which means your provider can often configure them before they even arrive at your office.
What You Need Before You Start
Before setting up your Grandstream phone, make sure you have the following:
- SIP credentials from your VoIP provider — typically a SIP server address, extension number, SIP username, and SIP password
- Network connection — an Ethernet port connected to your local network, ideally via a PoE switch
- The phone itself — unboxed with the handset connected and the stand attached
- A computer on the same network — for accessing the phone's web admin interface
Step 1: Connect the Phone to Your Network
Plug an Ethernet cable from your network switch into the port labelled "NET" or "LAN" on the back of the Grandstream phone. If your switch supports PoE, the phone will power on automatically. If not, connect the included power adaptor.
The phone will boot up, display the Grandstream logo, and then show the idle screen. This process takes 30 to 60 seconds.
Step 2: Find the Phone's IP Address
Once the phone has booted, you need to find its IP address so you can access the web configuration interface. On most Grandstream models:
- Press the round centre button or the menu key on the phone
- Navigate to Status or System Info
- The IP address will be displayed under IPv4 Address
Note the IP address — you will need it in the next step.
Step 3: Access the Web Admin Interface
Open a web browser on a computer connected to the same network and enter the phone's IP address in the address bar (for example, http://192.168.1.50).
You will see the Grandstream login page. The default credentials are:
- Admin login — username: admin, password: admin (or the password printed on a sticker on the back of the phone for newer models)
After logging in, you should change the default password immediately for security.
Step 4: Configure the SIP Account
This is the key step that registers your phone with your hosted VoIP platform.
- Navigate to Accounts then Account 1 (or whichever account slot you want to use)
- Set Account Active to Yes
- Enter the following details provided by your VoIP provider:
- SIP Server — the address of your hosted VoIP platform (e.g., sip.yourprovider.com)
- SIP User ID — your extension number or SIP username
- Authenticate ID — usually the same as the SIP User ID, unless your provider specifies otherwise
- Authenticate Password — the SIP password for this extension
- Account Name / Display Name — the name that will appear on the phone's screen and in caller ID
Click Save and Apply. The phone will attempt to register with the SIP server. If successful, you will see a green indicator or "Registered" status on the phone's display.
Step 5: Configure Network Settings
In most cases, the default network settings (DHCP) will work. However, if your network uses VLANs for voice traffic, you will need to configure this:
- Navigate to Network then Basic Settings
- Enable VLAN and enter your voice VLAN ID
- Set 802.1Q priority to 5 or 6 for voice traffic prioritisation
- Save and reboot the phone
If your VoIP provider uses DHCP Option 66 for auto-provisioning, the phone may configure itself automatically once connected — check with your provider.
Step 6: Set Up Additional Features
Once basic calling is working, configure these common features:
Programmable Keys (BLF and Speed Dial)
- Navigate to Settings then Programmable Keys
- Set the key mode to BLF (Busy Lamp Field) or Speed Dial
- Enter the extension number for BLF monitoring or the phone number for speed dial
- Save and apply
Time and Date
- Navigate to Settings then Time and Date
- Set the NTP server to pool.ntp.org or your provider's recommended server
- Set the time zone to GMT+0 (London) and enable daylight saving
Ringtone and Volume
Adjust the ringtone and volume levels under Settings then Preferences. You can also upload custom ringtones in WAV format.
Step 7: Test Your Phone
Run through these tests to confirm everything is working:
- Outbound call — dial an external number and confirm the call connects with clear audio
- Inbound call — call your extension from another phone and confirm it rings and you can answer
- Transfer — test both blind and attended transfers to another extension
- Hold and resume — place a call on hold and retrieve it
- Voicemail — if voicemail is configured, let a call go unanswered and confirm the voicemail is delivered
- BLF keys — confirm the LEDs reflect the correct status of monitored extensions
Troubleshooting Common Issues
- Phone shows "No Service" or fails to register — double-check the SIP server address, username, and password. Verify the phone can reach the internet by checking its network status page.
- One-way audio — typically a NAT or firewall issue. Ensure SIP ALG is disabled on your router and that your firewall allows the required SIP and RTP ports.
- No audio at all — check codec settings. G.711a (PCMA) is the standard codec in the UK and should be prioritised in the phone's codec list.
- Phone reboots repeatedly — check the PoE power supply. Phones with colour displays or sidecars may require PoE+ (802.3at) rather than standard PoE.

Auto-Provisioning
If you are deploying multiple Grandstream phones, manual configuration becomes impractical. Most VoIP providers offer auto-provisioning, where phones download their configuration automatically from a provisioning server when they boot up.
To enable auto-provisioning:
- Navigate to Maintenance then Upgrade and Provisioning
- Set the Config Server Path to the URL provided by your VoIP provider
- Set the upgrade method to HTTP or HTTPS
- Save and reboot — the phone will download its configuration automatically
With auto-provisioning, you can deploy dozens of phones by simply plugging them into the network. The configuration is applied without anyone touching the phone's admin interface.
